Enrollment Process

Getting a student into a class in TeachHero happens in up to three steps: admissions, registration, and enrollment. Families move through these steps on your school's website, and each step is a chance to collect fees and required forms. Admins can skip ahead at any point by enrolling a student directly.

Step 1: Admissions (new students only)

Brand-new students apply through your school's student application. A parent or guardian submits the application, and your school reviews and approves it before the student can go any further. You can charge an application fee at this step.

Returning students skip this step entirely.

Step 2: Registration

Students register for a Term — a school year, semester, or quarter that you set up under Enrollment → Terms. Registration reserves the student's spot in that term at a specific grade level, and is where you can charge registration fees (with optional payment plans).

Whether families must register before enrolling is up to you, per term:

  • Require pre-registration ON — families must register for the term first. Only registered students can enroll in the term's classes and programs.
  • Require pre-registration OFF — families can enroll in a class or program right away, and TeachHero registers them for the term automatically as part of that enrollment.

Step 3: Enrollment

Registered students enroll in the specific classes and programs that belong to their term. Tuition fees attached to the class or program are charged here, and any required enrollment forms must be completed before checkout.

Enrollment is only possible while the class, program, and term are Open — each has an enrollment status (Open, Closed, or Full) and an optional seat limit. You can also control exactly when enrollment opens, and for whom, with enrollment periods.

Where admins fit in

Families complete all three steps themselves on your school's website, but you can do any of it for them from the Admin panel. The Enroll student action on the Students list registers a student for a term and enrolls them into classes and programs in one go — and it bypasses closed enrollment, full seats, and grade-level restrictions.
