TeachHero, Inc. ("TeachHero," "we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, and safeguard your information when you use our software-as-a-service (SaaS) platform.

1. Our Role: School Data vs. TeachHero Data

TeachHero serves two groups: schools that subscribe to the platform, and the families, students, teachers, and staff those schools invite.

• School data — information a school enters or collects through TeachHero, such as student records, family contacts, enrollment forms, and payments to the school. The school controls this data; we process it on the school's behalf and at its direction. If you are a parent with a question about your family's records, contact your school first — we support schools in answering those requests.
• TeachHero data — information about your own relationship with us, such as your account, billing, support conversations, and website visits. We are responsible for this data as described in this policy.

2. Information We Collect

• Personal Information – including names, email addresses, and phone numbers.
• Account Credentials – such as usernames and securely hashed passwords.
• Billing Information – including billing addresses and payment details. Payment details are collected directly by Stripe; we do not store full card or bank account numbers.
• Usage Data – including app interactions, time spent, and features accessed.
• Device Information – such as IP addresses, browser types, and operating systems.
• Cookies and Tracking Technologies – for authentication, analytics, and user experience, as described in our Cookie Policy.

3. How We Collect Information

We collect information when users:

• Register for an account
• Enter data into the platform
• Interact with features or support
• Use the application (automatically collected usage data)
• Sign up for communications

4. How We Use Your Information

• Create and manage user accounts
• Deliver and improve the TeachHero service
• Process payments and send billing information
• Provide customer support
• Communicate service updates and marketing offers
• Analyze usage trends and improve product performance
• Fulfill legal obligations

5. Sharing Your Information

We share data only with trusted service providers as necessary to operate our service:

• Hosting: DigitalOcean and AWS S3
• Payments: Stripe
• Email: Postmark
• Text Messaging (SMS): Twilio
• Customer Support: HelpScout
• Website Analytics: Plausible (see Section 10)
• Product Analytics: PostHog (see Section 10)
• Security: Cloudflare Turnstile (bot protection on sign-up forms)
• Error Monitoring: Sentry

These providers are contractually obligated to protect your data. We do not sell your personal information, and we do not share mobile phone numbers or SMS opt-in or consent data with third parties for their own marketing purposes.

Separately, a school may choose to connect optional integrations — currently QuickBooks (Intuit) and Google Classroom (Google). When a school connects an integration, we share only the data needed for that sync, at the school's direction. Disconnecting the integration stops the sharing.

6. Children’s Privacy

While the TeachHero app is designed for adult users (e.g., school administrators, parents), we support the collection of data for children under 13 through school-managed portals. Such collection complies with the Children’s Online Privacy Protection Act (COPPA) and is performed with appropriate permissions and adult supervision. 7. Your Rights

You have the right to:

• Access your personal data
• Update or correct your information
• Delete your account and data
• Opt out of marketing communications
• Withdraw consent when applicable
• File a complaint with a regulatory authority

To request account deletion, please email us at [email protected]. If your request concerns records held by your school (see Section 1), we will refer it to the school and support them in responding.

8. Data Retention

We retain user data for up to 30 days after an account deletion request, after which it is securely removed from our systems.

9. Security

We use industry-standard security measures to protect your data, including:

• Encryption in transit and at rest
• Access controls
• Routine system monitoring
• Periodic audits

10. Analytics, Data Storage, and International Transfer

TeachHero stores and processes user data primarily in the United States. We use two analytics tools, each scoped to a different surface:

• Marketing website — Plausible. Our public website uses Plausible, a privacy-focused analytics provider that does not use cookies and does not collect personally identifiable information. All visitor data is aggregated and anonymized, and stored on encrypted, EU-owned infrastructure in Germany, consistent with the General Data Protection Regulation (GDPR).
• Inside the app — PostHog. The TeachHero app (admin, teacher, and parent portal surfaces) uses PostHog, a product analytics service, to understand how features are used so we can improve them. PostHog collects usage events and device information and is hosted in the United States. We do not use this data for advertising, and we do not sell it.

11. Text Messaging (SMS) and Mobile Information

Where a school enables text messaging, we process mobile phone numbers to send SMS messages on the school's behalf — including transactional messages (such as sign-in codes and emergency alerts) and, for recipients who opt in, optional announcements and volunteer requests.

To deliver these messages, we share mobile numbers and message content only with our SMS provider, Twilio, which is contractually obligated to protect this data. We do not sell mobile phone numbers, and we do not share mobile phone numbers or SMS opt-in or consent data with third parties or affiliates for their own marketing purposes.

You can opt out of further text messages at any time by replying STOP to any message, or manage optional-message preferences in your school's parent portal. Message and data rates may apply.

12. Policy Updates

We may update this Privacy Policy occasionally. Users will be notified via email, and the latest version will always be available within the TeachHero app and website.
