Your Dashboard

Home is the first page you see in the Admin panel, and it answers one question: what needs me today? It greets you by name, shows what you've collected and how many students are enrolled, then lists the things waiting on you, each with a button to deal with it. To come back to it, go to Home in the sidebar. The whole page is available on every plan.

Headline cards

Up to two cards sit at the top of the page.

  • Collected in {Month} — what you've collected since the 1st, in your school's timezone. Still expecting $X this month shows what's left to collect on scheduled payments, installments included. View N payments opens your Payments list for the month. This card appears once the first payment arrives this month.
  • Expected in {Month} — takes the card's place until then, when nothing has been collected yet but payments are scheduled. If autopay will collect some of it, the card says how much is set to collect by autopay. View scheduled payments opens the Scheduled Payments list.
  • Students enrolled — students currently enrolled in a term that hasn't ended, with N active families underneath. This is the same count your plan's student limit uses. View students opens the Students list. The card appears once a student is enrolled.

A card that would read zero doesn't show.

Needs your attention

Everything that needs you sits in one Needs your attention card. Each item gets its own table, and an item appears only while it has rows, so an empty list means nothing is waiting. Click a row to open its record. Money items come first.

  • Failed payments — one row per family. Click Send email to write the family a note (you can edit it first) with an Update payment method button. Once you send it, the family moves to Waiting on families.
  • Payments not matched to an invoice — payments that came in but aren't applied to an invoice, including ones you recorded by hand. Click Match payments to open them in the Payments list.
  • Past due, no reminder sent yet — families with overdue invoices and no reminder sent. The Reminders column reads Off or On · none sent yet. Click Turn on reminders on a row, or Turn on reminders (N families) at the top to switch them all on at once. Once a reminder goes out, the family moves to Waiting on families.
  • Expired autopay cards — families whose autopay card has expired and who haven't been emailed about it yet. Click View family to open the family.
  • Draft invoices not published — invoices left in draft for more than 3 days, so the family hasn't been billed. Click Review and publish to open the invoice, then click Publish. See Invoicing.
  • Unread messages — conversations with messages you haven't read. Click Reply.
  • Applications waiting — applications that are submitted or being reviewed. Click Review.
  • Classes starting soon — published classes starting within 7 days that have no enrolled students or no teacher. Click View class.
  • Volunteer shifts with no sign-ups — published shifts in the next 7 days that nobody has signed up for. Click View shift.
  • Terms with no classes yet — terms that open within 14 days and have no classes or programs. Click Add classes.

Each table lists up to five rows, with See all N at the top for the rest. A failed payment clears itself once the family pays that invoice. Failed payments, past-due invoices, expired cards, drafts, messages and applications older than 90 days drop off, because the full lists still have them.

When a school year ends without levels being promoted, an alert above the card reads The school year ended {date}. Click Promote now to move every student up a level, or Schedule yearly promotion to have it happen on its own each year. It stays for 14 days. See Levels, Age Groups & Promotion.

Waiting on families

Below the attention card, Waiting on families lists what you've already handled and a family now needs to act on, so no action is needed from you. You may want to follow up. It holds Failed payments · families were emailed, Expired autopay cards · families were emailed, and Past due, reminders going out automatically. The section shows only while something is in it.

Get your school ready

A new school sees a Get your school ready checklist with a progress bar and "N of M done". The steps are Add your first term, Add your first class or program, Turn on online payments, Publish your school website, Enroll your first student, Import your roster and Send your first email. Each has a button that takes you to the right page, and the next step is highlighted.

Steps tick off on their own as you finish them. For a step that may not apply to your school, click Mark as done to stop being nudged, or Undo to bring it back. The checklist leaves the page once every step is done or marked done. See First-time setup for a walkthrough. When you're all caught up

When nothing is left under Needs your attention, the page reads You're all caught up. Under it, This week so far lists what went out on its own since Monday, such as payment receipts sent, families reminded about past-due invoices, applications received and school emails sent. Only counts above zero appear.

What depends on your plan or your data

  • Failed payments and Expired autopay cards appear only once your school has online payments connected.
  • The autopay line and View scheduled payments on the Expected in card appear only when autopay is available to your school.
  • Unread messages lists your own unread conversations.
  • Volunteer shifts with no sign-ups appears only when an upcoming shift has no one signed up.
  • The checklist's Set Up Text Alerts step appears only once your school has the Text Alerts add-on.
  • Schools that reach their plan's student limit see a Student limit reached banner above the card, with an Upgrade your plan button.
  • Every other card, item and section shows whenever your data has something to show.
