Each class and program can send its own welcome email when a student enrolls — use it for first-day details, supply lists, or a warm hello from the teacher. You write the email right on the class or program's Details page, and it goes to the student's parents.
Set up the welcome email
- Go to Enrollment and open the class or program.
- On the Details tab, scroll to the Welcome email section.
- Turn on Send a welcome email when a student enrolls.
- Fill in the Subject and Message. Add a Signature if you like — it's optional.
- Click Save welcome email.
From now on, every new enrollment in that class or program sends the email automatically — whether the family enrolled through your school's website or an admin enrolled the student directly.
Start from a template
If you already have an email you like, you don't have to retype it.
- With the welcome email turned on, click Use a template in the Welcome email section.
- Choose a Template and click Use template.
- The subject, message, and signature fill in from the template. Edit anything you want to change, then click Save welcome email.
The class or program keeps its own copy, so later changes to the template don't change the welcome email. Only templates you created show up in the list — see Email Templates.
Who receives it
- Parents — every parent in the student's family who has an email address gets a copy.
- The student — only if no parent in the family has an email address, for example an adult learner enrolling on their own.
The email arrives with your school's name as the sender and your logo at the top. When a parent replies, the reply goes to your school's email address.
Turn the welcome email off
- Open the class or program and scroll to the Welcome email section on the Details tab.
- Turn off Send a welcome email when a student enrolls.
- Click Save welcome email.
Your subject and message are kept, so you can turn the email back on later without rewriting it.
Note: The welcome email only goes to students who enroll after you turn it on. It isn't sent to students already enrolled. Terms don't send a welcome email — set it up on each class or program instead.
