Email Templates

Email templates let you reuse messages you send often — welcome emails, weekly updates, reminders — instead of writing them from scratch every time.

Note: Templates are personal — each admin and teacher creates and manages their own. A template never sends on its own; it's only a starting point for emails you write.

Create a template

  1. Go to Communication → Emails.
  2. Click Email Templates (Email templates in the teacher panel).
  3. Click New email template.
  4. Fill in the template, which is laid out like the email editor:
    • Name (required) and Description — for your own reference; recipients never see these.
    • Subject (required) — and the From line, pre-filled with your name and email address. Click Change to edit the From name and Reply-to email.
    • The message body (required). Write it in the box under the From line.
    • Signature — optional; starts from your default signature.
    • Attachments — optional. Click Attach files to add files to the template. See Email Attachments.
  5. Click Create template.

Unlike a draft email, a template isn't saved as you type. Click Save changes when you edit one later.

Start an email from a template

  1. Go to Communication → Emails, click New email, enter a Subject, and click Start writing. The draft opens.
  2. Click Use a template next to the Subject. The link appears once you have at least one template.
  3. Pick your template from the Template dropdown and click Use template.

The draft fills in with the template's subject, sender details, message, and signature. Recipients and attachments you've already added stay as they are. You can use a template on any draft, not just a new one — it replaces what's there. Anything you change on the draft only affects that email — the template stays as it was.

Save an email as a template

If you've written an email you'll want to send again, save it as a template:

  1. Open the email.
  2. Click More and choose Save as template.
  3. Enter a Template name and an optional Note to yourself.
  4. Click Create template.

Any files attached to the email are copied to the template too. The template opens for review so you can make any final adjustments.

Preview, edit, or delete a template

On the Email Templates page, each template row has a preview button (the eye icon) to see it as recipients would, an Edit button, and a delete button.
