Submitting Student Applications

Families apply for admission on your school's own website, at the Student Application page: /portal/application (for example, yourschool.teachhero.com/portal/application). This article walks through exactly what they see, so you can guide parents who get stuck.

Submitting an application is how a family adds a brand-new student — once approved, the student joins the parent's family and can be enrolled. One application is required per student.

Start an application

  1. The parent visits /portal/application on your school's website. The page shows your application instructions and the application fee, if you charge one.
  2. They click Apply now.
  3. If they aren't signed in, they're asked for their email address. Portal login is passwordless: a one-time sign-in code is emailed to them, and they enter it to sign in. Brand-new families are asked for their name and email on a Create account step first, and a profile is created for them.

Complete the application steps

The application shows "Step X of Y" as the parent works through it:

  1. Parent/Guardian Information — the parent selects their relationship to the student (Mother, Father, or Guardian) and fills in their own details, then clicks Next. If your application asks for a mobile phone number, an optional Receive non-emergency text messages checkbox appears beside it when your school has text messaging turned on.
  2. Student Information — they enter the student's name, date of birth, the level the student is enrolling into, and any other fields your school requires, then click Next.
  3. Required forms — if your application includes forms, each one is listed with a Start button. Every form must be completed before they can continue. Submitted forms can be redone with Resubmit.
  4. Review and submit — the parent reviews everything (the parent and student sections each have an Edit button), and then:
    • With no fee (or a fully discounted one), they click Submit application. Nothing else is needed.
    • With a fee, they can apply a coupon with Use coupon, choose a saved card or bank account from the Payment method select, and check the required I accept the payment terms box. With a saved payment method selected, they click Pay [amount] & submit application. With New payment method selected, the button reads Continue to payment and takes them to a secure checkout page to enter a new card or bank account. See Application Fees.

The parent can't apply twice for the same student — if an application already exists for that student name in the family, they see an "Application already submitted" message and can't continue.

After submitting

The parent lands on a confirmation page showing your school's confirmation message and, if they paid a fee, their receipt. From there they can click Start another application or View status to return to their portal home page.

If your school auto-approves applications (review turned off), they see your acceptance message instead, along with a Register now button to start enrollment right away.

Save progress and resume later

Progress is saved automatically at the end of each step, so parents don't need to finish in one sitting. To resume:

  1. Sign in to the parent portal.
  2. On the Home page, any open applications are listed with their status.
  3. Click Continue next to an in-progress application to pick up where they left off.

The same list shows the status of submitted applications (Submitted or Reviewing) while your school reviews them. Once an application is approved or declined, it leaves the list — parents are notified by email if you've enabled approval or denial emails.

Warning: The Cancel application link at the bottom of an in-progress application deletes it, along with all progress. This can't be undone.
