Teachers and admins can be given access to sign in to your school in TeachHero. Admins get the full admin panel with all school information; teachers get a simplified teacher view limited to their own classes and students.
Everyone with the admin or teacher role is listed together on the Team page: in the sidebar, click Settings, then the Team tab.
There are two separate things to set up: the role (which marks a contact as a teacher, an admin, or both) and system access (which lets them actually sign in). Inviting someone by email handles both at once.
Note: Inviting teachers and giving teacher-only contacts access works on every plan — admins are exempt. See Plans & Pricing.
Invite teachers or admins by email
Use this for people who aren't in your contacts yet — each person you invite gets an email with a link to join your school, and a contact is created for them automatically once they accept.
- Go to Settings → Team.
- Click Invite team members.
- Enter the email addresses to invite, separated by commas.
- Under Roles, check Admin, Teacher, or both. At least one role is required.
- Click Send invites.
Invitees follow the emailed link, or go to My Schools → Join an existing school and enter their invite code — see Joining a School. Once they join, their system access is enabled automatically.
Add an existing contact as a teacher or admin
Use this when the person is already one of your contacts (for example, a parent who also teaches).
- Go to Settings → Team.
- Click Add team member.
- Search for and select the Contact.
- Under Roles, check Admin, Teacher, or both.
- Click Add team member.
Note: This only assigns the role. The person still can't sign in to your school until you enable their access (below).
Check who has access
Each person on the Team page shows their Roles and a System access status:
- Enabled — they can sign in to your school.
- Disabled — they have a TeachHero account but can no longer sign in to your school.
- Pending Invite — an invitation was sent and hasn't been accepted yet.
- none — no invite sent and no access.
To see only admins or only teachers, open the table filters and choose a Role. You don't appear in your own team list.
Enable access
- Go to Settings → Team.
- Click Enable access on the person's row.
- If they don't have a TeachHero account yet, confirm the email address (their primary email is pre-filled) and click Send invite — they'll get an invitation to join. If they already have an account, click Enable access to let them sign in right away.
You can also enable access from the person's contact page with Give access.
Resend or cancel a pending invite
When someone's System access shows Pending Invite, open the Manage menu on their row on the Team page:
- Resend invite emails the invitation again.
- Cancel invite makes the invite link stop working and removes the person from your team (their admin and teacher roles are removed). Their contact stays in place.
On the person's contact page, the System access badge also shows a View invite link while an invite is pending. Its Cancel invite button withdraws the invite but leaves their roles as they are.
Revoke access
Revoking access doesn't delete the person's contact or remove their roles — it removes their permission to sign in to your school. Your school disappears from their TeachHero account, and they lose all admin and teacher tools. If they're also a parent, they keep their normal access to the parent portal.
- Go to Settings → Team.
- Click Revoke access on the person's row.
- Click Revoke access to confirm.
To restore access later, click Enable access on their row.
